Archiving in Microsoft Outlook

Having a full inbox in you email account not only limits your email system’s computer space, but it also slows down your email client. To counter this, you might want to know how to create personal storage files for your email messages where it can be stored on your local computer without a limited size restriction set by someone else. Microsoft Outlook gives you the option to archive your email as a well to back up or delete old items, such as email messages, appointment, contacts, tasks, journal entries, notes, posted items, and documents. Archiving Data Manually
Archiving data manually is beneficial when you need to move certain files or individual folders to a new machine. To manually archive data:
- On the Go menu, click Folder List.
- Click on the folder that you want to archive.
- On the File menu, click Archive.
- Click on Archive this folder and all the subfolders.
- In the Archive items older than list, choose a date from the date picker.
- To include items that you previously selected not to archive, select the Include items with "Do not AutoArchive" checked check box.
- To archive the folder to a file other than the default Archive.pst file, click Browse, and then specify a different filename.
- Click OK. [2]
ArchivingData Automatically
Outlook’s AutoArchive automatically archives your data with the settings you have set for either each folder or all folders. To automatically archive data for all Microsoft Outlook folders:
- On the Tools menu, click Options, and then click the Other tab.
- Click AutoArchive.
- With Run AutoArchive every n days selected, specify how often to run AutoArchive.
- Select the options that you want.
- To apply the changes to all folders, click Apply these settings to all folders now. This will override custom archive settings that you've specified on individual folders.
To automatically archive data for individual folders:
- On the Go menu, click Folder List, right-click the folder you want to specify settings for, and then click Properties on the shortcut menu.
- Click the AutoArchive tab.
- Specify whether you want to archive the folder and if so, whether to use the default AutoArchive settings or your own settings. [3]
